Understanding BioRender’s refund policy and refund requests

BioRender updated its refund policy on March 18, 2026 to align with standard subscription billing practices. Under this policy, BioRender subscriptions are prepaid and non refundable once a charge has been processed. We encourage all users to review their renewal dates and manage cancellations directly in their account settings to avoid unexpected charges.

We understand unexpected charges can be frustrating. This article explains when refunds may be reviewed and when they are not offered. Most billing questions can be resolved by reviewing the information below.

Refund policy at a glance

Refunds are not offered once a charge has been processed. This includes situations such as:

  • forgetting to cancel before a renewal date
  • missing the end of a free trial
  • not using the account after purchase
  • no longer needing the software

Canceling your subscription stops future renewals but does not reverse charges that have already been processed.

Submitting a refund request also does not cancel your subscription. If you do not want your plan to renew, you must cancel it directly in your account settings.

Situations where we review a refund

Our team may review requests in limited situations.

  1. Billing error: If you were charged incorrectly or billed for the wrong plan, we will investigate and correct any confirmed billing error.
  2. Service issue: If BioRender materially breached our agreement and the issue could not be resolved after notice, a refund may be considered.
  3. Moving to a Lab, Institutional, or Enterprise license: If you recently gained access to BioRender through a larger license but were also charged on a personal subscription, we may review your account and offer a prorated refund for overlapping time.

If you are a part of a Lab, Institutional, or Enterprise license contact us within 30 days of gaining access to the new license. Please reach out using your organization’s email so we can verify your request faster.

How to request a review

If you believe your charge qualifies for review under the three scenarios above, please contact our Support team by email at support@biorender.com and write from the email address associated with your BioRender account.


Common billing scenarios that do not qualify for refunds

⏳ You missed the end of your free trial

If your trial auto-renewed into a paid plan before you had a chance to cancel, this is why the charge occurred. Subscription pricing, billing cycle, and renewal terms are displayed and acknowledged during checkout before a free trial is activated.

What to do: 

  • Cancel your current subscription to end at the end of its renewal date.
  • Set a reminder before future renewals.

🤦🏽‍♀️ You didn't mean to subscribe

Sometimes a subscription may feel unexpected if a renewal date was missed.

What to do: 

  • BioRender sends automatic renewal reminder emails 7 days before your subscription renews. If you do not wish to continue your plan, ensure your subscription is set to cancel at the end of its billing cycle in your account settings to prevent future charges.

💳 You were charged for the wrong plan

If the charge amount appears different than expected, it may be because your subscription renewed on the billing cycle selected at the time of purchase.

What to do:

  • Review your Plan & Billing tab to confirm your active plan and billing cycle.
  • Check your invoice and renewal details to verify the subscription type and billing frequency associated with your account.
  • Subscription details, including billing cycle and pricing, are displayed during checkout and in your account settings. Managing or canceling your plan before the next renewal will prevent future charges.

How to cancel your subscription

To prevent future charges, you can cancel your subscription anytime in your account settings.

Canceling keeps your plan active until the end of the current billing period but prevents future renewals.
