How to transfer file ownership in your organization

Keep your organization’s data by transferring file ownership when a member leaves your organization.

As the administrator of an organization, you can transfer files from one member to another to ensure files remain accessible to your organization.


Who can transfer files?

  • Only organization administrators can transfer file ownership.

  • Transfers can only occur between registered or deactivated members.

  • Organization members cannot transfer file ownership.

  • Files from non-registered or removed members cannot be transferred.


Steps to transfer file ownership

You can initiate the file transfer process when deactivating or removing a member from your license, but this step is not mandatory. You also have the option to transfer files without deactivating or removing the member. Follow these steps:

1. Click on your profile icon in the top-right corner of your BioRender webpage.

2. Select “Admin”.

3. Navigate to “Account Overview & Users”.

4. Locate the member whose files you wish to transfer.

5. Click the three-dot menu next to their name.

6. Select “Transfer Files”.

7. Enter the name of the organization member who will become the new file owner.

8. Confirm the transfer by selecting the checkbox.

9. Click “Transfer Files”.

 


What files can be transferred?

The following file types can be transferred to a new owner within your organization:

  • Folders

  • Illustrations

  • Posters

  • Slides


After the file transfer

Once ownership is transferred, the new file owner will find the files in their gallery inside a folder titled:

“Transferred files: [Name of Previous Owner]”


Important Limitations

  • Files can only be transferred to another registered member of your organization.

  • Pending members are not eligible to receive file transfers.

  • All of a member’s files will be transferred—individual file transfers are not currently supported.

By following these steps, you can ensure a smooth transfer process and maintain organizational data integrity.
