How to share your files with “View only” permissions

You can now invite collaborators to view your BioRender files without giving them editing access. This is great for sharing final drafts, presentations, or collaborating with colleagues who don't need to make changes.

All you need is their email address—even if they don’t already have a BioRender account. New users will be prompted to sign up before accessing the shared file.

How to share an illustration from the gallery

  1. Go to your Gallery and locate the illustration you want to share.
  2. Click the ••• (horizontal ellipsis) on the illustration thumbnail.
  3. Select Share from the dropdown menu.
  4. Enter the email addresses of your collaborators and click Add. You can enter multiple emails.
  5. Set permissions to View only using the dropdown next to each email.
  6. Click Send invites.

How to share an illustration from the canvas view

You can share directly from the Canvas using either the Share button or the Menu bar.

Using the Share Button

  1. In the top-right corner of the Canvas, click Share.
  2. Enter the email addresses of your collaborators and click Add.
  3. Use the dropdown menu to set permissions to View only.
  4. Click Send invites.

Using the Menu Bar

  1. In the file menu, click Share and select Share again.
  2. Enter the email addresses of your collaborators and click Add.
  3. Set their permissions to View only using the dropdown next to each email.
  4. Click Send invites.

Troubleshooting

Can't share a file?

  • Ensure you are the file owner or have sharing permissions.
  • Make sure the email addresses are entered correctly.

Collaborator didn’t receive the invite?

  • Ask them to check their spam folder.
  • Re-send the invitation if needed.
