If a collaborator shares an illustration with you but you can’t access it, BioRender offers a streamlined access request process. This ensures file owners maintain control while collaborators enjoy an intuitive and secure way to request file access.
How to request access to a shared file
1. Accessing a file while logged out
If you try to access a shared file link while logged out, you’ll see a prompt to either:
- Sign up (if you don’t have a BioRender account)
- Log in (to access the shared file)
Once logged in, the system will guide you to the next step.
2. Using the Request Access page
After signing in, you’ll be redirected to a Request Access page.
- Click Request Access
- A confirmation will appear indicating your request was successfully sent
3. If you already have access
If your account already has view or edit permissions, you will be taken directly to the illustration without needing to request access.
4. After access is approved
Once your access request is approved:
- You will receive an email notification inviting you to collaborate on the file
- You'll also get an in-app notification (via the bell icon)
- Click the notification to open the shared file.
How file owners manage access requests
1. Email notification
When someone requests access, the file owner will receive an email titled “Review Request”. Clicking this opens the access management panel.
2. In-app notifications
File owners and editors will see:
- A notification via the bell icon in the top right
- A red dot on the Share button inside the file
Clicking either will take them to the request management view.
3. Reviewing and managing requests
Owners and editors can review incoming requests and choose to:
- Approve or deny access
- Assign either view or edit permissions to the requester
All of this happens via a simple pop-up panel accessed from email, notification, or the Share button.
