Groups in BioRender: Frequently asked questions

BioRender Groups help users collaborate by sharing files, folders, and projects. This FAQ addresses common questions about group functionality, access, and sharing permissions.

Group membership and access

  • Does my content (files, folders, favorites & uploads) get unshared when I am removed from a group?

No, content is not automatically unshared. You must manually visit each file or folder and unshare it individually.

  • Is a group the same as a team?

Yes, with a few differences. When a member is removed from a group, they will no longer have access to shared content. When a new member is added, they gain access to all content currently shared within the group.

  • Why can't I join a group?

If you were invited but cannot access the group page, the invite may have been sent to the wrong email address. The group admin must invite you using the email linked to your BioRender account. We recommend you reach out to the admin to re-invite you with the correct email.

Sharing and content management

  • Does joining a group automatically share my files?

No, files are not automatically shared. You must manually share files, folders, uploads, and favorites with the group.

  • What happens to my premium subscription if my team is deleted?

When a premium team is deleted, BioRender automatically creates a replacement group to maintain content-sharing capabilities.

  • What happens to shared content when my team is deleted?

Files and folders remain shared with the individuals who previously had access. Uploads and favorites are shared with the new group if the team transitions into a group.

Managing Groups and permissions

  • Can I be in multiple groups at once?

Yes, you can join multiple groups simultaneously.

  • How can I convert project folders into groups?

To convert folders into groups, navigate to the "Groups" tab and create a custom group. Once the group is set up, share your folder with it. Any files added to the shared folder will automatically become accessible to all group members.

  • Do group members need BioRender Premium to join?

No, users do not need Premium access to join a group.

  • Can anyone in the group invite new members?

No, only group admins and organization admins can invite new members.

Organization and Premium account questions

  • If I am part of a Premium organization, can I opt out of my organization’s default group?

No, you cannot opt out of the default group assigned to your organization.

  • Will inviting a new user via the admin panel automatically add them to my default group?

Yes, when a new user is added via the admin panel, they are automatically added to the default group.

  • Can a group include both Premium and Basic Free account holders?

Yes, Basic Free account holders can join groups and have files shared with them. However, they are limited to five illustrations. If a Basic Free user has already reached this limit, they will not be able to access any additional shared content.
