Overview: how AI usage works
AI usage allows members of your organization to access AI-powered features in BioRender. Admins can monitor usage across their organization and manage limits from the Admin workspace.
Credits help organizations:
- Track AI usage across teams
- Manage consumption over time
- Align usage with internal governance policies

Personal AI usage for organization members
Organization members users receive a personal allocation of AI usage, even if their organization has not purchased an AI add-on. This personal usage does not expire.
Shared usage for organizations with the AI add-on
For organizations with an AI add-on, AI usage is pooled at the license level rather than assigned individually to each user.
This means:
- Eligible users draw from the organization’s shared usage
- Admins do not need to manually distribute usage to individual users
- Admins can monitor AI usage across their organization
Department level credit distribution
AI usage can be managed at the department level. As an admin, you can set a usage limit for each department, which applies to users within that department.
Department allocation uses the existing Department field on user profiles, which can be set via SSO or in the admin console.
Usage expiration
For organizations with an AI add-on, unused plan usage expires at the end of the applicable subscription period. Personal AI usage provided to organization members users does not expire.

AI add-on pricing and credit packages vary depending on your organization type and plan. To get the most accurate pricing details for your account, please contact your Customer Success Representative.
How to monitor and control AI usage
Admins can view AI usage and manage limits through the AI Credits dashboard.
- Open your BioRender Admin workspace.
- Select the "AI Credits" tab.
- View your total annual credit balance and used credits.
- Scroll down to the "AI Credit Usage" table to see how many credits each team member has used.
- Use the "Manage Limits" button to set per-user usage caps or reach out to your Customer Success Manager for more information.

Can my organization use AI features without purchasing an AI add-on?
Yes. Each user in an organization receives personal AI usage grant, regardless of your organization’s purchase.
How is AI usage shared across my organization?
AI credits are pooled and shared across your organization.
Can I see how much AI usage is remaining?
Yes. Admins can view team’s shared balance in your organization’s billing or admin settings (location may vary depending on your plan).
What happens if my organization reaches its AI usage limit?
Contact your BioRender Customer Success Manager or email support@biorender.com to request a topping up your AI usage.
Does unused AI usage expire?
Yes. Organization credits expire at the end of your subscription period. The initial, personal grant does not expire.
How do I control AI usage?
Admins can set limits so each user can access usage from the total pool. Use the “Manage Limits” option in the AI Credits dashboard.
How do I track usage?
The “AI Credit Usage” table shows AI usage used, per-user limits, and percentage of usage across your organization.
