Set up BioRender integrations for your organization

BioRender works inside PowerPoint, Google Slides, Microsoft Teams, Claude, ChatGPT, and Microsoft Copilot. This guide is for BioRender admins and the IT teams they work with. It explains the roles and responsibilities of your team so your members can access and use each integration.

Roles and responsibilities

Role Responsibilities
You (BioRender admin) Decide which integrations your organization should use, ask the right admin to turn them on, assign seats, and manage BioRender settings.
The admin of the integration tool Your Microsoft 365 admin, Teams admin, Google Workspace admin, Claude Owner, or ChatGPT workspace admin. They approve the integration or install it for everyone.
Your security team Reviews how BioRender handles data, if your organization requires it. Each section below links the right security document.
Members Sign in with their BioRender account the first time they use an integration.

At a glance

Integration BioRender plan Who turns it on Available actions We recommend
PowerPoint All plans Microsoft 365 admin, if your organization blocks add-ins Install it for everyone Install it for everyone, or for a pilot group first
Google Slides Paid plans Google Workspace admin, if your organization restricts Marketplace apps Install it for everyone Install it for everyone
Microsoft Teams Enterprise Teams admin Install and pin it for everyone Install and pin it for everyone
Claude All plans Claude Owner, on Team and Enterprise plans Make it available Add BioRender for your organization
ChatGPT All plans ChatGPT workspace admin, on Enterprise and Edu plans Install it for everyone Install it for everyone or specific roles
Microsoft Copilot All plans Microsoft 365 AI Administrator, always Install it for everyone Install it for the groups that should have it

Even when an integration is installed for everyone, each member signs in with their BioRender account once. Please note an admin can’t sign in on a member’s behalf.

How to locate your integrations

  1. Sign in to BioRender as an admin.
  2. Select “Integrations” in the left sidebar.
  3. Under “Available now”, select your preferred integration.
  4. Select “Learn more” for an overview.

PowerPoint

Members can install BioRender for PowerPoint themselves unless your organization blocks add-ins from the Microsoft store. If it does, members see: "Microsoft 365 has been configured to prevent individual acquisition and execution of Office Store add-ins."

To install it for everyone: your Microsoft 365 admin deploys BioRender for PowerPoint from the Microsoft 365 admin center, for everyone or for specific groups. See Microsoft's guide to deploying add-ins

Good to know.

  • It can take up to 72 hours to appear. Members may need to restart PowerPoint.
  • The BioRender button appears on the “Home” tab.
  • If your organization can't install from the store, contact support for a manifest file your admin can upload.

BioRender settings: none. Members with a seat get unlimited updates and editable figures.

Google Slides

Members can install BioRender from the Google Workspace Marketplace unless your organization restricts Marketplace apps. Many education domains do.

To install it for everyone: your Google Workspace admin uses Admin install for everyone or specific organizational units. They can also add BioRender to the allowlist so members install it themselves. See Google's guide to installing Marketplace apps.

BioRender settings: none. Members need a seat to add figures.

Microsoft Teams

To install it for everyone: your Teams admin allows the BioRender app, then adds it to your organization's app setup policy so it's installed and pinned for everyone. See Microsoft's guide to app setup policies.

BioRender settings: link previews are on by default. To turn them off, go to “Settings” › “Integrations” › “Link previews”.

Members sign in once to see previews. If asked for an Organization Name ID, they'll find it on their BioRender profile under “About you”.

Claude, ChatGPT, and Copilot

These AI assistants connect to BioRender the same way. Each member connects their own BioRender account the first time.

Claude

On Team and Enterprise plans, an Owner adds BioRender in “Organization settings” › “Connectors”. Owners can also limit which actions it can take. On Pro and Max plans, people connect it themselves. See Anthropic's guide to connectors.

ChatGPT

On Enterprise and Edu workspaces, an admin enables BioRender and can install it for everyone or for specific roles. Each person still connects their own BioRender account. It's on by default for ChatGPT Business. See OpenAI's guide to admin controls for plugins and apps.

Microsoft Copilot

BioRender works in Copilot Cowork. Your Microsoft admin gives each person a Microsoft 365 Copilot license and turns on Cowork, and an AI Administrator deploys the BioRender MCP plugin to the groups that should have it. People can also search BioRender from Copilot Chat and Researcher. See Microsoft's guide to admin-deployed plugins in Cowork.

BioRender settings for all three

  • “Settings” › “AI Features” › “Figure generation” controls whether members can create figures, in BioRender and in these assistants. Searching isn't affected.
  • Creating figures counts toward your organization's AI usage.

If your organization restricts integrations

What's happening What to do
Not turned on yet: Your organization allows apps, but an admin needs to approve or install this one. Send the admin of that tool the section above and the security document.
Blocked by policy: Your organization doesn't allow third-party apps or add-ins, or only allows an approved list. Ask your security team to review the security document. Members can't work around this.
Can't run here: For example, an older version of Office. Update to the latest supported version of the application and try again. If the issue persists, contact your IT administrator.
Can't sign in Members should sign in with their work email. See each member article.
Works, but something's missing Check seats and BioRender settings above.

Members can always export a PPTX or PNG from BioRender, share a BioRender link, or use BioRender AI in the app.
