How to access and edit your organization's settings

As an Admin, you can access and modify your organization settings in BioRender to manage security, internal branding, AI tool access, and more. How to access your organization settings tab

  1. Ensure you are an Admin of an Enterprise or Academic Institution organization. 
    • Please note: Team organizations do not have access to Org Settings.
  2. Method 1: Direct URL Access
  3. Method 2: Through the Admin Tab
    • Click your profile avatar in the top-right corner of the BioRender app.
    • Select “Admin” from the dropdown.
    • In the Admin view, click “Settings” in the left-hand navigation (below Account Overview & Users).

How to edit organization settings

  1. Click directly on any field (e.g., Organization name, Brand kit set up requests) to open the edit modal.
  2. Modify the field as needed:
    • Text fields: Type normally into the input box.
    • Radio buttons: Select the appropriate option.
  3. The “Save” button becomes active only after changes are made.
  4. Click the blue “Save” button to apply your changes.

How to update your organization's name

  1. On the Settings page, click the Organization name field.
  2. A modal window will appear prompting you to update the name:
    • Enter your desired display name in the Organization name input box.
    • The “Save” button will activate once changes are detected.
  3. Click “Save changes” to apply the update.

How to update your organization's logo

  1. Click the “Organization logo” section.
  2. Upload a logo file:
    • Formats supported: PNG, JPG, JPEG, SVG
    • You can either drag and drop the file or click the “Select a file” button.

  1. Use the zoom slider and drag the image to crop as desired.

  1. Click “Apply” to confirm the cropping.
  2. Click “Save Changes” to finalize the update.

Note:

  • The organization name here is a display name for templates and brand kits, not the one shown in public-facing portals.
  • The logo is used for user-uploaded templates, not for portal branding.

How to set or update your security contact

  1. On the Settings page, click the “Security contact” field.
  2. A modal will appear, prompting you to enter an email address.
  3. Type your preferred email into the email address field (this email will be used to receive BioRender's security and privacy communications).
  4. Click “Save changes” to confirm.

How to enable and reset two-factor authentication (2FA)

  1. Click the "Two-factor authentication" section.
  2. Choose one of the following options:
    1. Off
    2. Enable 2FA for all users (This option will automatically enforce 2FA for all users associated with the license)
  3. Click "Save changes" to enforce your selection.

This setting only applies to users signing in with email and password. SSO users are managed via your identity provider.

When 2FA is enabled:

  • Members will be prompted to enroll at their next login
  • An authenticator app will be required
  • Setup cannot be skipped or postponed
  • Members will be blocked from logging in until 2FA is completed

For SSO-enabled organizations:
You’ll see a message stating that 2FA is managed by your identity provider. Enforcing it through BioRender will be disabled.

How to reset a 2FA for a user:

  1. Navigate to the Admin Tab
  2. Select "Account Overview & Users"
  3. Select User
  4. Click on "Reset 2FA"

Sharing content with users within your organization

  1. Click the “Organization-wide sharing” section in the Settings page.
  2. In the modal that appears, select one of the radio buttons:
    • Off – Disables sharing. 
    • Enable organization-wide sharing for all users – Allows users to share their content with others within the organization
  3. Click “Save changes” to apply the setting.

Sharing content with users outside your organization

  1. Click the “External sharing” section in the Settings page.
  2. In the modal that appears, select one of the radio buttons:
    • Off – Disables sharing. 
    • Enable sharing with anyone – Allows users to share their content with anybody.
    • Enable sharing with specified regex only - Allows users to only share content with users with specific email domain regex.
  3. Click “Save changes” to apply the setting.

How to manage access to AI tools for your organization

  1. Select one of the AI feature sets.
  2. Within the modal that appears, review the Purpose, Inputs, and Outputs for those tools.
  3. See the “Learn more” documentation on how to use the tools
  4. Select one of the radio buttons near the bottom of the modal:
    • Off – Disables the listed AI tools for all users in your organization.  
    • Enable for all users – Makes the listed AI tools available to all users in your organization.

How to manage brand kit setup request notifications

  1. Click the “Brand kit set up requests” section in the Settings page.
  2. In the modal that appears, select one of the radio buttons:
    • Off – Disables notifications.
    • Enable email notifications – Sends an email to admins when a user requests Brand Kit features.
  3. Click “Save changes” to apply the setting.

How to enable or disable link previews for Microsoft Teams

  1. Click the "Link previews" section in the Settings page.
  2. In the modal that opens, select your preference:
    • Off – Disables link previews.
    • Enable link previews – Allows BioRender image previews to appear in Microsoft Teams when shared via link.
  3. Click “Save changes” to confirm.

How to access security and compliance documentation

  1. On the Settings page, scroll to the "Compliance" section.
  2. Click the Trust Centre link on the right-hand side. This will open BioRender’s external security documentation portal in a new tab.
