Welcome! As an administrator, you play an important role in managing your organization's BioRender license through the Admin panel. You oversee Premium access for all invited members on your license. Members may include scientists, lab managers, educators, PIs, additional administrators, and students.
Who should be invited to join?
Who you decide to invite to take a seat on your license will depend on the needs of your organization. Consider which departments or individuals require Premium features based on their needs and usage. For example, you may want PI’s to take a seat on your license over student members to ensure they have access to the following Premium features:
- Powerpoint Add-in: Accounts on BioRender Basic (our free option) will have access to two Powerpoint file updates per month. Premium access will provide them with unlimited usage.
- Graphing: Graphing files are included in the five-file limit if a user is on a Basic plan. An institutional or enterprise license provides unlimited access for graphing files.
- File storage: Members will have access to an unlimited number of files they can store on their account.
- Unlimited objects: Basic accounts will have a 50 objects limit per canvas. Premium access provides unlimited use.
If your institution's needs grow, you can request additional seats through your account manager or directly via the Admin panel.
Getting started
- verify your email address to access your Admin panel.
- If your organization was previously on a group trial, contact your account manager to ensure it has been migrated.
- Members still linked to a trial must be removed or migrated before gaining access to the new license.
Key admin tasks
1. Managing members
Inviting members (license dependent)
- Add new members via CSV uploads or individual email invitations.
- Assign appropriate access levels to all members.
- Remove members who no longer need access to free up seats.
- Removed members can still log in and access their independent accounts.
- Transfer files to another member before removal to maintain data integrity.
- Deactivating a member revokes their access but allows reactivation if needed.
- Assign properties such as department, title, or budget allocation to members.
2. License management
- Expand your seat count to accommodate new users needing Premium features.
- Create or delete groups and set permissions for group members.
3. Managing files
- Transfer file ownership when members leave to ensure uninterrupted access.
- Only license administrators can initiate file transfers.
4. Access controls
- Assign roles such as Admin or Member to control permissions.
- Update roles as responsibilities change.
5. License access
- Provide members with your unique portal link from your account manager.
- Resend invitations if necessary (for organizations using the "Invite" option).
6. Communication and support
Providing support
- Assist members with technical issues and direct them to Help Center articles.
- Ensure members are informed of new features and updates.
Feedback and improvement
- Collect feedback from users to enhance the BioRender experience.
- Relay feedback to your account manager.
- Work with BioRender Support to resolve system-wide issues or request features. If contacting Support, loop in your account manager.
Leaving your admin role
If you are leaving your organization and need to transfer your role:
- Notify your account manager and provide the new Admin's name.
- Update another member's role to Admin. Admins can manage organization settings, invite members, and handle billing.
